The three kinds of "free"

Almost every ranking list in this category mixes three different products together, which is why the advice reads as contradictory. They are not the same thing.

A browser generator fills in a form and gives you a PDF. No account, no data stored, no cap. This is what most people searching for a free invoice generator actually want, and it is genuinely free.

A free tier is real software with an account, and a limit — invoices per year, users, or clients. Free until you outgrow it, which is the point.

A free trial is paid software with the bill deferred 14 to 30 days. Xero, MYOB, QuickBooks and Reckon all appear on "free invoice generator" lists on the strength of a trial. They are not free.

Wave is still on half these lists, and Australians cannot use it

Wave is the most-recommended free invoicing tool on the internet, and its Starter plan genuinely is free — unlimited invoices, no per-invoice fee, card payments at 2.9% + US$0.60. The problem is that Wave stopped accepting sign-ups outside the United States and Canada in November 2020, and a large share of 2026-dated Australian roundups still list it, usually in the top three.

If a list recommends Wave to an Australian reader, nobody checked it this year. Treat the rest of that list the same way.

Check the free-tier numbers before you trust a list

Free-tier limits move, and roundups rarely re-check them. Zoho's own Australian pricing page currently states 500 invoices per year and 2 users on the free plan; several roundups still quote materially higher limits. Square's Australian invoicing page currently states a A$0 plan with unlimited invoices and estimates, with online card payments at 2.2%.

It is also worth knowing that most of these lists are published by companies selling one of the entries, which usually appears at number one. What an Australian invoice actually has to include

A generator is only useful if its output is valid. For a tax invoice under A$1,000, the ATO expects the words "Tax invoice", your business name, your ABN, the date, a description of what was sold, the GST amount (or a statement that the total includes GST), and the total.

Two thresholds matter. If a customer asks for a tax invoice you must supply one within 28 days, unless the sale is A$82.50 including GST or less. And you only charge GST at all once you are registered, which is compulsory at A$75,000 turnover. Below that you can invoice without GST — plenty of generators will happily add 10% you are not entitled to collect, so check the setting.

Which one should you pick?

You invoice occasionally and want a PDF now: a browser generator. There is no reason to create an account to send four invoices a year.

You invoice regularly and want a record: Zoho Invoice, if 500 a year and the branding suit you.

You want to be paid by card: Square Invoices. The invoicing is free and you pay only when a client pays — 2.2% online.
