How to Write an Invoice Email

A well-written invoice email gets you paid faster. The goal is to make it effortless for the client to find the invoice, see the amount due, and pay quickly. Keep the email short, friendly, and informative.

A great invoice email includes:

  • A clear subject line: "Invoice #1234 from [Your Business] — Due 30 June"
  • A friendly greeting using the contact's name
  • A one-sentence summary of the work delivered
  • The invoice number, amount due, and due date
  • Payment methods and details (bank, BPAY, PayID)
  • A polite sign-off and your contact information
  • The invoice as a PDF attachment

Example: "Hi Sarah, please find attached Invoice #1234 for $1,650 covering the May social media campaign. Payment is due by 30 June via bank transfer (BSB 123-456, Acc 12345678) or PayID (hello@yourdomain.com). Let me know if you have any questions — thanks for the work this month! Best, Alex."

Send the email the same day you complete the work. A short reminder 2–3 days before the due date can speed up payment further.
