What Does an Invoice Need?

An invoice needs enough detail for the client to identify the charge, pay it on time, and reference it later — and for both parties to keep accurate tax records. Missing fields are the most common reason invoices get delayed.

Every invoice needs:

  • The word "Invoice" (or "Tax Invoice" if you're GST registered)
  • Your business name, ABN, and contact details
  • A unique sequential invoice number
  • The date of issue
  • The client's name and billing address
  • Description of each item or service with quantity, unit price, and line total
  • Subtotal, any GST or tax, and the total amount payable
  • Payment due date and payment methods (bank, BPAY, PayID)
  • Optional: PO number, project reference, or a thank-you message

For Australian tax invoices of $1,000 or more, you also need the buyer's identity or ABN. Without an ABN on the invoice, the client may have to withhold 47% under the No-ABN Withholding rule.
