What Does an Invoice Need to Include?

An invoice needs to include every detail the client needs to identify the charge and pay it — plus the information you need for your own bookkeeping and tax reporting.

A complete invoice includes:

  • The word "Invoice" or "Tax Invoice" (if you're GST registered)
  • Your business name, ABN, and contact details
  • A unique sequential invoice number
  • The date the invoice was issued
  • The client's name and billing address
  • A line-by-line description of products or services with quantity, rate, and line total
  • Subtotal, any GST or tax, and the grand total
  • Payment due date and accepted payment methods
  • Bank, BPAY, or PayID details for payment
  • Optional: PO number, project reference, or thank-you message

For Australian tax invoices of $1,000 or more, also include the buyer's identity or ABN. Save invoices as PDFs before sending — PDFs lock in formatting and look professional on any device. Keep copies for at least five years to meet ATO record-keeping rules. InvoiceSonic's templates pre-fill every required field by default.
