What Should an Invoice Include?

An invoice should include every piece of information the client needs to identify, approve, and pay the charge — plus the details you need for your own records and tax reporting. Missing fields cause delays and can create issues at BAS time.

A complete invoice includes:

  • The word "Invoice" (or "Tax Invoice" if you're GST registered)
  • Your business name, ABN, and contact details
  • Your business logo (optional but professional)
  • A unique sequential invoice number
  • The date of issue
  • The client's name and billing address
  • Description of each item or service, with quantity, unit price, and line total
  • Subtotal, any GST or other tax, and the total amount payable
  • Payment due date — typically 7, 14, or 30 days
  • Payment methods — bank, BPAY, PayID, credit card link
  • A purchase order or project reference, if applicable
  • A short thank-you note or terms in the footer

For Australian tax invoices of $1,000 or more, also include the buyer's identity or ABN. Always send invoices as PDFs to preserve formatting. InvoiceSonic's templates pre-fill every recommended field.
