Invoicing tips for musician invoice template

  • Specify set length and call time so the venue knows exactly what the fee covers and overtime can be billed if the set runs long.
  • Collect a non-refundable deposit (often 50%) on booking and show it as a credit on the final invoice.
  • List equipment/PA rental separately from your performance fee - it clarifies what's a service vs. a rental for the client's records.
  • State your cancellation policy on the invoice so a last-minute cancel doesn't leave you unpaid.
  • If you're paid $600+ by a business or venue, include your EIN/SSN so they can issue your 1099-NEC.

Musician Invoice Template invoice FAQ

How much deposit should a musician require for a gig?

A 50% non-refundable deposit on booking is standard for weddings and events, securing the date and covering your time if the client cancels. Show it as a credit on the final invoice.

Do musicians charge sales tax on performances?

Live performance fees are generally not taxed, but equipment rental or sales of merchandise/recordings may be. Check your state's rules, since amusement and rental taxes vary.

Should equipment and travel be billed separately?

Yes. Listing PA rental, travel, and lodging as separate lines from your performance fee makes the invoice transparent and helps the client (and your accountant) categorize costs.

How do I handle overtime if the gig runs long?

State your set length and an hourly overtime rate on the invoice. If the venue asks you to play past the agreed time, bill the extra at that rate as an added line item.
