  • Always collect a non-refundable retainer to hold the date and show it as a paid credit against the balance on the invoice.
  • State your overtime rate per hour up front so extending the reception is a simple add-on, not a negotiation.
  • List lighting, ceremony sound, and MC services as separate packages clients can add or drop.
  • Tie the final balance to a due date before the event (commonly 2–4 weeks prior) and note it clearly.

How much deposit should a DJ require?

A non-refundable retainer of 25–50% is standard to reserve the date. Record it as a deposit credit on the invoice so the remaining balance is clear.

When is the DJ balance due?

Most DJs require the full balance 2–4 weeks before the event. State the due date on the invoice and note that the retainer is already applied.

How do I bill DJ overtime?

Set a per-hour overtime rate in your contract and add it as a line item after the event if the client extends the reception. The template includes an overtime line.

Do DJs charge sales tax?

Performance services are tax-exempt in many states, but equipment rental portions may be taxable. Check your state rules and tax only the rental lines if required.
