Invoicing tips for caregiver invoice template

  • Separate hourly care, overnight shifts, and transportation so families and any payer can see each cost clearly
  • Note the dates and hours of each visit so the invoice doubles as a care log
  • Bill mileage for appointment and errand driving as its own line rather than rolling it into your rate
  • If a long-term care insurer or agency reimburses, include the client ID or claim number they require
  • Keep duty descriptions respectful and specific (bathing, meals, mobility) so services are documented for everyone involved

Caregiver Invoice Template invoice FAQ

Is in-home caregiving taxed with sales tax?

No. Personal and companion care is a service and is not subject to sales tax in the US. You invoice for care hours, shifts, and reimbursable mileage only.

Am I an independent contractor or a household employee?

It depends on who controls the work. If a family directs your schedule and duties, the IRS may treat you as a household employee handled via payroll. If you operate independently across several clients, you are likely a contractor who receives a 1099-NEC for clients paying $600 or more.

Can families use this invoice for long-term care insurance?

Often yes. Many long-term care policies reimburse private caregivers if the invoice shows dates, hours, services provided, and the caregiver's details. Add the policy or claim number the insurer requests.

How should I bill overnight or live-in care?

Bill overnight care as a flat per-night shift rate rather than hourly, and list it on its own line. Live-in arrangements often use a daily rate; either way, keep it separate from standard hourly care.
