Teaching Invoice Template invoice FAQ

Do I charge sales tax on tutoring services?

In most US states, one-on-one educational instruction is not subject to sales tax, but rules vary. A few states tax tutoring or sell-along materials. Check your state's department of revenue and tax only the items that apply, such as physical workbooks.

Should I send a W-9 to families or schools I tutor for?

If a school, district, or company pays you $600 or more in a year, they will likely request a W-9 and issue you a 1099-NEC. Individual families paying out of pocket generally do not, but keep your own records for income reporting.

How do I bill for missed or canceled lessons?

State your cancellation policy on the invoice, for example a full charge for sessions canceled with less than 24 hours notice. List billed no-shows as their own line item so the charge is transparent.

What payment terms work best for tutoring?

Many tutors invoice weekly or monthly with Net 15 terms, or require prepayment for a block of sessions. Prepaid blocks reduce chasing payments and lock in committed students.
