  • Break out packing materials line by line - customers question a lump 'supplies' charge but accept itemized boxes and wrap.
  • State the valuation coverage (released value vs. full value protection) the customer chose; it's required disclosure for interstate moves.
  • Add stair and long-carry surcharges as separate lines rather than padding the hourly rate, so the quote matches the invoice.
  • For binding estimates, note that on the invoice and only add charges the customer authorized in writing.

Should a moving invoice be hourly or flat rate?

Local moves are usually billed hourly (rate times crew size times hours), while long-distance moves are often flat-rate by weight and distance. The template supports both - use line items for hourly or a single binding-estimate line for flat.

Is moving labor taxable?

It depends on your state. Some states tax moving services, others exempt transportation labor but tax packing materials. Check your state's sales tax rules before deciding what to tax.

What is valuation coverage and why is it on the invoice?

Valuation is the mover's liability for damaged goods. Federal rules require interstate movers to offer released value (60 cents/lb) and full value protection, and to document the customer's choice on paperwork.

When should customers pay for a move?

Most movers collect payment on delivery before unloading is complete. Larger commercial relocations may use Net 15 or Net 30 with a signed contract and deposit.
