Invoicing tips for psychologist

  • Include the CPT session code and exact minutes so clients can claim out-of-network benefits
  • Add your NPI and Tax ID — insurers reject superbills without them
  • List one ICD-10 diagnosis code; out-of-network reimbursement usually requires it
  • Mark telehealth sessions clearly, as some plans reimburse them differently
  • Keep records HIPAA-aware and share only the minimum necessary client information

Psychologist invoice FAQ

What is a superbill for therapy?

A superbill is a detailed receipt that includes session CPT codes, an ICD-10 diagnosis, and the provider's NPI and Tax ID. Out-of-network clients submit it to their insurer to seek partial reimbursement.

Do I need a diagnosis code on the invoice?

For a simple private-pay receipt, no. But for a superbill that a client will submit to insurance, an ICD-10 diagnosis code is almost always required for reimbursement.

Are psychotherapy services taxable?

Professional mental-health services are generally exempt from sales tax in the US. The main concern is correct medical coding, not tax collection.

How should I bill telehealth sessions?

Use the appropriate CPT code with a telehealth place-of-service indicator or modifier. Note that it's a telehealth session on the invoice, since some plans reimburse virtual visits at different rates.
