Invoicing tips for truck

  • Reference the load number and BOL so brokers can match the invoice to the rate confirmation
  • List the fuel surcharge as a separate per-mile line so it's clear and adjustable
  • Bill detention and lumper fees with supporting receipts to get reimbursed
  • Include your MC and DOT numbers for broker verification and quick payment
  • Note if the invoice is assigned to a factoring company for remittance

Truck invoice FAQ

What documents should I attach to a freight invoice?

Attach the signed bill of lading (BOL), the rate confirmation, and receipts for lumper or detention charges. Brokers typically require these before paying.

How do truckers usually get paid?

Brokers commonly pay on Net 30 terms, though many owner-operators use a factoring company to get paid within a day or two. Note the remittance address or factoring assignment on the invoice.

What is a fuel surcharge and how is it billed?

A fuel surcharge offsets fuel-price swings and is usually billed as a separate per-mile rate on top of the line-haul rate, so it can flex with diesel prices.

Do I charge sales tax on freight?

Interstate freight transportation is generally not subject to sales tax, though rules vary for intrastate hauls and accessorials. Check your state and keep your MC/DOT info on the invoice.
