Payment Receipt Template

A payment receipt template proves money changed hands, which is a different job from an invoice asking for it. This one records the amount, date, method and the invoice it settles, and downloads as a PDF in about 60 seconds.

Typical line items

Fields you'll usually include on this invoice:

  • The word Receipt, and a receipt number of its own
  • Who paid, and who received the payment
  • The date payment was actually received — not the invoice date
  • The amount received, and the currency
  • How it was paid: cash, card, bank transfer, cheque or app
  • Which invoice it settles, by invoice number
  • Any balance still outstanding, if it was a part payment

Invoicing Tips

  • Record how the payment arrived, not just that it did. Method is the field almost every receipt template omits and the one that matters when you reconcile a bank statement months later
  • Reference the invoice number. A receipt with no invoice reference is nearly useless for either side at tax time
  • Give receipts their own number sequence, separate from invoices
  • On a part payment, state the remaining balance on the receipt — it prevents the client believing the debt is closed
  • Cash payments need a receipt more than any other method, because no bank record exists to corroborate them

Common Mistakes to Avoid

  • Dating the receipt to the invoice date rather than the date money arrived
  • Reusing the invoice number as the receipt number
  • Omitting payment method, which makes bank reconciliation guesswork
  • Issuing a receipt for a part payment without stating the balance left

Frequently Asked Questions

What is the difference between an invoice and a receipt?

An invoice requests payment and is issued before money moves. A receipt confirms payment and is issued after. An invoice creates a debt; a receipt discharges it. A document can serve as both only if it carries the fields of both.

Do I have to give a receipt?

Rules vary by state and by payment type, but a customer who asks for proof of payment should get one, and cash transactions in particular should always be receipted because no other record exists.

What should a payment receipt include?

A receipt number, who paid and who received, the date the money actually arrived, the amount, the payment method, the invoice it settles, and any balance still owing.
