  • Word does not calculate. Every subtotal, tax figure and total is typed by hand, which is the single most common source of error on a hand-built invoice — Excel at least adds up
  • Always export to PDF before sending. A .docx arrives editable, and a payment record anyone can edit is not much of a record
  • Lock the header and footer, or six months of small edits will quietly reshape the template
  • Increment the invoice number every time. Reusing the last file and forgetting to change the number is how duplicate references happen
  • If you send more than a handful a month, the manual arithmetic stops being worth the control Word gives you

Common Mistakes to Avoid

  • Sending the .docx instead of a PDF, so the client can edit the amount
  • Overwriting last invoice and losing the earlier record entirely
  • Forgetting to update the invoice number, date or client on a reused file
  • Typing a total that does not match the line items — the error a client always spots

Does Microsoft Word have an invoice template?

Word ships with template-gallery invoices, but they are generic and usually lack the fields a business needs — payment terms, tax shown separately, and a payment-details block. A purpose-built template covers those out of the box.

Should I send an invoice as Word or PDF?

Always PDF. A Word file can be altered by whoever receives it, and it may reflow or lose formatting on a different machine. Edit in Word, send as PDF.

Can I make a Word invoice calculate totals?

Only with table formulas, which are fragile and break when rows are added. If you want reliable arithmetic, use a spreadsheet or an online generator — that is the actual trade-off between Word and everything else.
