A cash receipt template matters more than any other receipt, because a cash payment leaves no bank record to corroborate it — the receipt is the only evidence either side has. This one records the amount, date, purpose and both parties, and downloads as a printable PDF.

Fields you'll usually include on this invoice:

  • The word Receipt and a unique receipt number
  • Date the cash was actually handed over
  • Amount received, written in figures and ideally in words

Invoicing Tips

  • Write the amount in words as well as figures. It is an old convention and it exists because a single altered digit on a cash receipt is otherwise undetectable
  • Sign it. A cash receipt without a signature from the person who took the money is much weaker evidence
  • Issue it at the moment of payment, not later. A receipt written from memory the next day is worth far less if it is ever questioned
  • Keep your copy. With cash there is no statement to fall back on — if you lose the duplicate, the record is simply gone
  • Note the balance on part payments so the payer cannot reasonably believe the debt is settled

Common Mistakes to Avoid

  • Issuing no receipt at all for cash, leaving neither party with evidence
  • Recording only figures, so an altered digit cannot be detected
  • Leaving out what the payment was for, which makes it useless at tax time
  • Failing to note a partial payment, so the arrears trail breaks
