InvoiceSonic to Excel: Review Invoices and Prepare a P&L
Export InvoiceSonic invoice and payment data to Excel, match it with your accounting records, and prepare a P&L without confusing billing totals with profit.
InvoiceSonic can export your invoice records as a CSV file that opens in Excel. That gives your bookkeeper or accountant a portable view of what you billed, what has been received, and what remains due. It is a useful starting point for reconciliation, but it is not a finished profit and loss statement: the export does not contain your business expenses.
This guide shows a manual InvoiceSonic-to-Excel workflow. It is not a native integration with HISAB 360 or an accounting platform.
1. Export invoice records from InvoiceSonic
Sign in to InvoiceSonic, open Invoices, and select Accountant CSV. The file includes one row per invoice, with the invoice number, issue and due dates, status, currency, client, subtotal, tax, discount, total, amount received, and balance due. Project and billing-stage fields are included where applicable.
This is different from the CSV downloaded from our free profit and loss statement template. The free template exports a summary of figures you enter manually; Accountant CSV exports invoice records from your account.
2. Open the CSV in Excel and check the basics
Open the file in Excel and turn the data range into a table. Keep the original CSV unchanged as a source record. Confirm that dates and monetary columns were recognized correctly, and filter by currency before summing values. A total across different currencies is not a meaningful financial figure unless you convert them using an appropriate method.
Check invoice numbers for duplicates and compare a few rows with the original invoices. For example, a partially paid invoice may show a total of $1,500, an amount received of $500, and a balance due of $1,000. Those are three different measures; do not add them together as revenue.
3. Match invoices to the accounting records
Compare invoice number, client, date, currency, and amount against the corresponding entries in your accounting system. Record any missing invoices, different amounts, credit notes, or timing differences for review. The Amount received field is a cumulative invoice-level figure, not a dated list of individual payments. To reconcile specific bank deposits or prepare a cash-basis report for a period, use the payment records and dates in your accounting system as well.
InvoiceSonic's export is selected by invoice issue date. An invoice issued before the selected period can still have a later payment, so do not treat a period-filtered export as a complete list of payments received during that period.
4. Build the P&L from the full set of records
Your P&L needs revenue and costs for the same reporting period under the accounting basis you use. InvoiceSonic supplies billing information; your accounting or expense records supply direct costs, operating expenses, adjustments, and any other entries required to arrive at profit. Ask your accountant how to handle tax, unpaid invoices, refunds, and timing differences for your business.
For a simple layout, use our free P&L template. For a more detailed workbook, HISAB 360 publishes a guide to building a P&L in Excel and free month-end Excel templates. HISAB 360 also offers a Windows Excel add-in for working with accounting-system data, but a direct InvoiceSonic-to-HISAB connector has not been tested or announced.
A small example
Suppose your export has three USD invoices totaling $3,300. Their Amount received values total $1,500, and their Balance due values total $1,800. Those figures help you review billing and collections. They do not tell you net profit: you still need expenses and accounting adjustments, and the amount received may span more than one period.
The useful handoff is simple: export clean invoice data from InvoiceSonic, review it in Excel, match it to the accounting records, then prepare the P&L from the complete ledger. If you use HISAB 360, its Excel reporting tools can be part of the accounting-side work; the invoice CSV remains a separate input to check and reconcile.
