What to Put on an Invoice

What you put on an invoice determines how quickly you get paid. A clear, complete invoice gives the client everything they need to approve and process payment without coming back with questions.

Put these fields on every invoice you issue:

  • The word "Invoice" or "Tax Invoice" (if you're GST registered)
  • Your business name, ABN, and contact details
  • A unique sequential invoice number
  • The issue date
  • The client's name and billing address
  • A line-by-line breakdown of the work with description, quantity, and rate
  • Subtotal, GST (if applicable), and total
  • Payment due date and methods (bank, BPAY, PayID)
  • A purchase order or project reference, if your client uses one
  • A short thank-you note or polite payment terms

For Australian tax invoices of $1,000 or more, also include the buyer's identity or ABN. Save the invoice as a PDF before sending — PDFs lock in formatting and look professional on any device. InvoiceSonic's templates pre-fill every required field so you only enter what changes.
