Best HVAC Software for Small Business (2026)

October 3, 2026

The best HVAC software for small business in 2026, compared on price, dispatch and online booking: ServiceTitan, Housecall Pro, Jobber and InvoiceSonic.

Full disclosure: I'm Dyllan, and I make InvoiceSonic, one of the options in this guide. I'll say plainly where another tool is the better choice, because for a lot of businesses it is.

TL;DR

The best HVAC software for a small business depends on how many technicians you dispatch. With a team, you want dispatch and online booking. As an owner-operator, you mostly need service calls, estimates, equipment notes and invoices.

  • Best for larger HVAC companies: ServiceTitan (quote on request, per technician)
  • Best for small teams: Housecall Pro or Jobber
  • Best for an owner-operator: InvoiceSonic (mine), US$14.99/month flat

What to look for in HVAC software

Handles the seasonal rush

The first heatwave doubles your calls. Adding a service call should take seconds, and the day's schedule should be readable at a glance.

Equipment details on the job

Model, serial number and filter size should open with the job on site, so the next visit starts with the history.

Maintenance agreements

Some tools create repeat visits automatically. InvoiceSonic bills an agreement on a schedule with recurring invoices (Pro) and books visits individually.

Price per technician

Dispatch boards matter with several trucks. For one or two technicians, per-technician pricing is often the biggest cost difference.

ServiceTitan

ServiceTitan is built for HVAC and other trades at scale, with dispatch, call booking, a customer portal and GPS. Pricing is per technician and by quote, so it is rarely the cheapest option for a small shop.

Housecall Pro

Basic US$59/month billed annually (US$79 monthly) for 1 user; Essentials US$149 (US$189) with 5 users; Max US$299 (US$329) with 8 users, then US$35 per extra user. There is a 14-day free trial.

Jobber

Core US$29/month billed annually (US$49 monthly) for 1 user; Connect US$99 (US$139 monthly) with 5 users; Grow US$149 (US$199) with 10 users; Plus US$399 (US$499) with 15 users. Extra users are US$29/month each.

InvoiceSonic

For an owner-operator, InvoiceSonic covers service calls on a day-by-day schedule, unit notes on the job, estimates customers accept online, saved parts and labor items, and invoices. InvoiceSonic does not have staff accounts, dispatch, GPS, online booking, timesheets or automatic repeat visits. Jobs is built for owner-operators.
