Xero lets you customise your invoice template (called a "branding theme") so invoices match your business branding. You can change the logo, layout, terms, and payment instructions through the Settings menu.
To edit an invoice template in Xero: 1. Log in to Xero and go to Settings → Invoice settings 2. Under "Branding themes", click "New branding theme" or edit an existing one 3. Upload your logo and choose colours 4. Edit the default fields shown — invoice number prefix, due date wording, payment terms 5. Add bank details, BPAY, or PayID information in the payment section 6. To customise the PDF layout further, click "Custom .docx" and download the sample 7. Edit the .docx in Word — change fonts, columns, footer text — then upload it back 8. Save the theme and assign it as the default
For most users, the standard themes are enough — the .docx route is best when you need a specific layout. If you find Xero's template editor restrictive, InvoiceSonic offers a flexible, free invoice generator that produces clean, branded PDFs without any setup.
