How to create an invoice with this generator

This invoice generator for Australia is set up for Australian businesses from the start: AUD, an ABN field, 10% GST and day-first dates. It takes about two minutes:

  1. Enter your business details and ABN. Add your business name, trading name if you use one, contact details and 11-digit ABN. Upload your logo and pick an accent colour if you want the invoice branded.
  2. Turn on GST only if you're registered. When GST is on, the generator adds 10% and the document is titled "Tax Invoice", as the ATO expects. When it's off, the document stays an "Invoice", which is correct for a business that isn't registered for GST.
  3. Add your client. For a tax invoice of $1,000 or more, include the buyer's business name or ABN. Add a separate service address if the work was done somewhere else.
  4. Set the invoice number, dates and reference. Continue your own numbering, set the issue and due dates, and add the client's purchase order or job number if they gave you one.
  5. Add line items. One line per service, product or block of hours, each with a quantity and price. If you took a deposit or were part-paid, enter the amount already paid and the balance due updates.
  6. Add payment terms and download. Write how and when to pay, for example "Payment due within 14 days. PayID: hello@example.com.au or BSB 000-000, Acc 12345678", check the live preview, then download the PDF.

What an Australian tax invoice must show

If you're registered for GST, the ATO requires a tax invoice for a sale under $1,000 to show enough information to clearly determine these 7 details:

  1. That it's intended to be a tax invoice.
  2. The seller's identity.
  3. The seller's ABN.
  4. The date it was issued.
  5. A brief description of each item, with quantity (if applicable) and price.
  6. The GST amount, or the statement "Total price includes GST" if GST is exactly 1/11 of the total.
  7. The extent to which each item is a taxable sale.

Sales of $1,000 or more must also show the buyer's identity or ABN. A customer can ask you for a tax invoice, and you must give them one within 28 days, unless the sale was $82.50 or less including GST. A PDF is a valid tax invoice if it contains these details. Source: ATO, Tax invoices.

Sole trader invoices in Australia: with or without GST

Most sole traders start below the $75,000 GST threshold. If that's you, your invoice should:

  • be titled "Invoice", never "Tax invoice";
  • show your ABN, so the business paying you doesn't have to withhold 47%;
  • charge no GST, and show that GST wasn't included, usually with a line such as "No GST has been charged".

That's what business.gov.au asks for: "Any invoices you provide need to show that GST was not included." In this generator, leave GST off and add that line to your notes or payment terms.

When you need to register for GST

You must register for GST within 21 days of your GST turnover reaching $75,000, measured either as this month plus the previous 11 months or as this month plus the next 11 months (projected). The threshold is $150,000 for non-profits, and anyone providing taxi, limousine or ride-sourcing travel must register regardless of turnover. You need an ABN before you can register.

How the generator calculates GST

GST is 10% of the GST-exclusive price, or 1/11 of a GST-inclusive price. The generator works from exclusive prices: enter each line before GST and it adds 10%.

On a mixed invoice, the ATO requires you to show which items are taxable, the GST amount and the total. GST is rounded to the nearest cent, with half a cent rounding up. Check any figure with the GST calculator.

Deposits, part payments and progress claims

Turn on Ask for a deposit to request a percentage or a fixed amount up front; the invoice shows the deposit due now and the balance remaining. If a client has already paid part of the invoice, enter the amount paid and the balance due updates.

If you do residential building work, deposits are capped by state law no matter what your invoice says. In Victoria the maximum is 10% for contracts under $20,000 and 5% for contracts of $20,000 or more, NSW caps deposits at 10%, and in WA builders can take no more than 6.5% on contracts between $7,500 and $500,000. Check your state's rules before you send a deposit invoice.

Payment terms, PayID and BSB

Payment terms are part of your agreement with the client, so state them on the invoice. business.gov.au gives 7, 14, 21 or 31 days as typical terms. Put your payment options right next to the total:

  • PayID, an email address or phone number, so the client doesn't have to type a BSB and account.
  • BSB and account number with the account name, for clients whose systems need them.
  • A card payment link (Stripe, Square or PayPal) if you accept cards; expect about 1.65% to 2.9% in fees.

Large businesses are slow payers: the Payment Times Reporting Regulator found they took an average of 64 days to pay 95% of small-business invoices in the first half of 2025, up from 58 (February 2026 update).   • A PDF invoice is valid in Australia, including as a tax invoice, as long as it shows the required details.
  • eInvoicing is voluntary for small business. An eInvoice is not a PDF; it moves directly between accounting systems over the Peppol network, which the ATO administers. You don't need it to invoice other businesses.
